Now's an exciting time we're going to be talking about one month out items. You should be getting excited for that special day. But there's some stuff the button up, as Sharon likes to say, tie that pretty bow get it all finalized. Sharon, what all are we covering in this episode?

You're exactly right. One month out is rubber meets the road, tie all those details up with a bow. Get your ducks in a row, whatever, whatever. Whatever one of my grandma's saying you want to use it's the time to use, we could do a whole episode on those sayings. It is game time. So it is time to get serious. Yeah. So at the end, about six weeks out, I contact my couples. And I asked them to give me some availability for their one month mark, I usually want to do it right at 30 days. And I ask them to give me three to four hours of their time, which is sometimes hard to do. So that's why we plan it early. At that meeting, I want to leave that meeting, knowing what I'm going to have for an appetizer. I want to know what song we're going to walk down the aisle to I want to know where the bridal party is being sequestered. I want to know every single thing, all the things, all the things when I leave that meeting. Now this is this a meeting with just you and a couple. The first hour will be with just me. Then I like to meet with my DJ officiant sometimes photographer most the time, so photographers can just send in their proposed timeline. And we can make that work. But any vendor that I feel like we need to have a final sit down meeting with I like to do it on that day. And then I like to take about another half hour at the end of those meetings to go over any loose ends that need to be right buttoned up. The main reason I do that, first of all, it's courteous to your vendors because they're not scurrying around asking for information for from you at the last minute. But the main reason I like to do that is I like my couples to like slide into wedding day with grease on their shoes. I like them not to worry about anything. That's how it's supposed

to be right that day is for you to enjoy and take it in because we've talked about it before. It goes by in a flash right

the main reason and there's a million reasons that I believe in why you should hire a wedding planner. But if you ask most couples, why did you feel like you needed a wedding planner? It's because they wanted to not feel stressed leading up to the wedding and on their wedding day. So this month out meaning to me is major important. I won't schedule anything else that day. I belong to that client on that day. And I'm not coming home till your wedding's completely done.

And I would guess that the 30 day mark to a lot of times your final payments are due to your vendors.

It's the time where you want to you want to sit down you want to look at that budget list and you want to see I run my budgets for my full planning clients I run the budget for them. And I set I'll planner to send them a reminder when they have a payment due. But if you don't have that it's still time that you sit down and you look and you want to make sure every single vendors paid because even maybe confirmed there are there are some vendors that They're not going to come if they're not paid by wedding day.

Some of them are at least two weeks, if not 30 days. So

you really want to make sure that everyone's paid, you want to make sure that you've got a really good start on your timeline. I don't send the timeline out until about two weeks prior to the wedding. But I definitely want a good rough draft by 30 days. And

the timeline that you're referring to is exactly how that day is going to go from start to finish. Yes. And one of the other things, Sharon, I know we've talked about this before, but if you don't have a wedding planner, you really need to make sure some of these venues, you have to be out by a certain time. And if you're not, you get charged and it's not charged $50 or $100.

So a lot, it's usually in 10 minute increments, and it's usually 100 to $200 every 10 minutes

in making sure your vendors are on that same timetable is really important because some of them have to load stuff out. Right. So Okay, what else do we've got, what else we got this important time, I know,

some big things that I like to talk about it are one month out, meaning I want to know a few things. I want to know how all your decor that you are providing is getting to this wedding, and I want to know how it's getting home. You guys have heard me talk about my big my big redneck Wedding Tip of a U haul. If you're getting a U haul I want to know who's driving it. That person needs to be sober at the beginning of the night, and they need to be sober at the end of the night. And I want to know where we're going to park that u haul after the wedding until someone comes back to pick it up the next day.

Well the other thing too, if you're doing your own decor, while you can't be putting out the decorations, or centerpieces and things if your inherent makeup, whether you're using a wedding planner, not who is putting out that stuff, who is setting that stuff

for and then at the end of the night, you need to have an if you don't have a u haul you need several separate people. If you're providing your own alcohol, who's taking your leftover alcohol home, and we've

talked about this before, you could end up with a lot more than you realize

yes. And like I have a Volkswagen Jetta, I should not be the person taking alcohol home. That should be someone with an SUV, because it's not going to fit in a small car, you really have to think these things through

because that stuff you run out of room quickly because some of this stuff is not small, common The

other thing and I feel like it comes up every wedding no matter how much I try to plan for it. leftover food and leftover cake, who's taking it home? And what is it going into? What containers is it going into. So we need to have containers purchased, to put that leftover food and leftover cake in and we need to know who's taking that home. Most importantly, your cards and your gifts,

those in charge of those, where are they going for the night, if if you're headed out on your honeymoon, you probably don't want to just go in set that in your own one of your places or your place together, you probably just don't want to leave

it I always have my couples, it's on my 30 Day questionnaire. I want to know who's responsible and the word responsible is written because it's not gonna be me for your cards at the end of the night. Now I'll be responsible for them during the reception. And at every venue I go to, I find a locked room and I pull those cards at the 30 minute mark. And again, at the hour mark, I will pull cards and I will lock them up. But when it's time to go home, again, I need someone sober, and someone responsible that we can give those cards to that are going to see that they're taken care of until the couple is ready to receive them.

We've been talking about some serious stuff. Can we talk about a little fun stuff? We can I mean, can we get a smidge of that in there like you know we can talk about duties that what people are doing that day, but how about your second dress fitting or breaking in those wedding shoes. Please do not wait till the day of you know I've purchased shoes that I know I've got to go to a special dinner or an event. And I don't know why I haven't gotten it through my head yet. If don't just put them on that day and especially and expect them to be comfortable. I would think sharing the same goes for wedding shoes.

For sure you don't want your first day to wear your wedding shoes to be down the aisle. I carry moleskin I carry all kinds of stuff in my emergency kit but it still hurts come on any lady knows. It still hurts. So break those shoes in beforehand. Another thing we want to make sure you do is especially for the bride get your haircut, the groom and the groom get your hair cut. If you

don't wait till the last minute to do that, especially if you're even getting color as well. Don't wait

or if you have extensions. That's a huge thing. Get that done beforehand. You also want to make sure that you are are finalizing those vows. If you are writing your own vows, let's get those completely finished.

And you mentioned that when we did the two to three month out episode, and please don't put yourself in a situation with the stress doing it a couple days before your event. I know Sharon, I think you mentioned about some people trying to do it, the day of oh, you can't it just such additional stress, you don't need

some other things. I don't know if they're fun. But things that need done, we'll

release we got a little bit of sprinkled in there write

some stuff that needs done in most states, you can't get your marriage license more than 30 to 60 days before the wedding, I know where we live, it's 30 days. So you want to make sure that you set a time because those places are only open during business hours. So if you are requiring appointments, right, if you work nine to five, you're going to need to take some time off you and your fiance to go get your marriage license.

And as a reminder, it has to be in the state. Right that you're getting married. Right. And then or country, if you're doing destination,

some states still require witnesses, and some do not. So you need to find that out. And if witnesses are required, you need to make sure that you ask those two people. Traditionally, it's your maid of honor and your best man. But I have a lot of people now that are using grandparents, parents, so doesn't matter who it is. But just find out you know, make your plan and know who that's going to be.

I don't think you've mentioned anything yet about RSVP cards or seating chart right? Or seating plan seating chart,

Sharon Rumsey  11:44  
right, it's time to start working on that. You can't really finalize a seating chart until all your RSVPs are in so that you're not going to get it finalized this far out. But you can at least start working on it and start grouping people that you know you want to be together together. Another thing that is really important to do at this time is to send out rehearsal dinner invitations. A lot of people don't realize that that's a separate event. And I really recommend a rehearsal dinner invitation.

Because some they know if they're invited Yeah, because

you don't want outsell Aunt Sally and Uncle Billy showing up just because they're from out of town but you didn't plan on them coming and they don't have a seat. And they don't have a meal selection. And you put you in an awkward situation. So make sure that you send out your rehearsal dinner invitations at about a month out.

You just brought up a good point. Are you saying planning ahead will keep you from having more stress, more stress? Yes. Or people showing up that you didn't plan on?

Sharon Rumsey  12:47  
Right. And if those final vendor meetings we were talking about with your florist and your DJ and that kind of stuff. It's time now to start adjusting your accounts. You know, maybe you thought you were going to have 18 guests table so you ordered 18 centerpieces, but now that all of your or most of your RSVPs are in you realize you only need 16 tables. You don't want to pay for those extra two centerpieces, those are very expensive. So it's time to start finalizing counts.

Now we're back to communication. Some of these topics we come across multiple times. But communicating with your vendors can save you money. If you don't need the tables, the chairs, the centerpieces, the linens, right, it all adds up. So you

want to if you have a wedding planner, they'll do that for you. But you want to finalize all of those counts. At about two weeks out, that's when your catering counts are going to be due. That's where your money's at. So you really want to make sure you're not paying for meals that you don't need. That's why those RSVPs are so important. And if you're having a plated meal, they're gonna want to know how many people chose chicken and how many I just sent one of these in last week. How many chose chicken how many chose beef, you know, so those counts are really super important in that from those counts, your caterer is going to order the food. So your florist is going to order the florals so it's really really important that those get in on time you also want to make sure you adjust your cake order because if you had you know cake for 250 people and you're only gonna have 175 You don't want to pay for all that extra cake and once again who's taking it home.

Also if you're having appetizers most of the time it has to do with your caterer but your late night snack some people are having another company come in to do late night stock snack right So Sharon, I know you're probably get to it. But you recommend whether you're if you're using a planner, they're probably going to do this for you. But if you're not touching base with all of your vendors, don't you suggest that

what I do is my major players. We have the one month out meeting with right but every single vendor I just did This today for wedding I have coming up say the wedding is on a Saturday, on Wednesday. I call not a text message, not an email. I'm going to go old school I'm going to call and use my voice and I want to talk human to human with that vendor. And I want to confirm. Hi, John Smith photography. This is Sharon. I am Sally Jones wedding planner, and I have you arriving at three o'clock at the brown hotel in the parlor suite, which is room 1315. I have you arriving at 10 o'clock in the morning. You'll be with us all day in photography coverage ends at 10 o'clock at night. Is that good with you? How can I make your day easier? What do I need to provide to make your day easier,

that touching base and not playing phone tag, not text message and all that kind of stuff. You actually have them on the phone and write them in there. You can know if something's going on or if something has come up that they also need that

Sharon Rumsey  16:02  
and you will be shocked how many little things have gotten discovered at just today. I did a call with the cater amazing cater would work with him every wedding if I had a chance. But I said and just making sure that for our case Oh bar late night snack. We have chopped tomatoes, chopped onions, chop lettuce. And he said, Oh my gosh, I didn't have that down. No problem. We'll take care of it. But if we had not had that call, and had not went over everything, it wouldn't have been there. It would have been wedding day and we would have had playing case on chips because we wouldn't have had though. That seems like a small thing. But it's in the details. It's important to the couple it is in the details. Absolutely. It's couples having a case Oh bar for late night snack. There's a lot of time a lot of people seem to be doing that late night snack is a thing. It's a thing. It is a thing. And i tha and I do love it. Because by that time of the day, most of my work, you know, the major stress of my day is done. And I do love me late night snack. For sure. So anyway, just I do those calls, literally the week of the wedding

confirmation with every player that's involved unless you had that. Do you do it with the people you had the sit down meeting with to so every player that's involved? The week of your wedding, that to me is a must yes, no matter how big or small, doesn't matter what type of event you're having.

Sharon Rumsey  17:27  
Right. And it's just to reconfirm and connect. It's been a little I hope I'm not getting on anyone's nerves doing it. Most people seem to appreciate it. Because it gives them a chance to go over all the details. And it just sets the whole team up for success. I'm a huge believer in I would rather overcommunicate than be surprised. I don't like surprises on wedding day. Not at all ever.

And a couple shouldn't either to be honest with you, because that's just going to add to their plate. Correct. And sorry, I wasn't trying to jump ahead. Oh, no, that's an important item. Totally Correct.

You also want to make sure that you've looked at your final floor layout, adjusted it, you know, if you're, if you're adding a table, you're taking a table away due to guest count, you want to make sure that all of those things are set, you know where that DJ is gonna go. If you're having a photo opportunity or balloon wall, you want to make sure you know where that's gonna go, you know, who's at the head table? And is or the head table? Are they all seated on one side? Are they going to be double seated. So you just want to make sure that your floor plans completely done. Because from that floor plan, the rest of your vendors are going to work

now and sometimes your venues work with you on the floor plan whether you have a wedding planner, or not. Right, most

Sharon Rumsey  18:46  
venues will do a floor plan themselves now. And I really appreciate that because they know their venue better than anyone

will we'll in the thing about that is is just thinking. So if you don't have a planner, and the place that you're at does not have a venue coordinator, or someone that provides you with some kind of layout. If you take that extra time to take that step, it's going to make things a lot easier for you on wedding day, right? Yeah, that's great. I

Sharon Rumsey  19:15  
can do them. I use the software that has the capability for me to do them. But I usually when I do them, I still get the actual dimensions and everything from the venue. And then you set it to scale and and do it. Another thing that I would totally recommend is anything you're renting your linens, any equipment, warming ovens, anything like that you're renting, restrooms, anything like that, reconfirm with them. And again, if that table count changes, that linen count is going to change that napkin count is going to change. So make sure that you are adjusting all of those things so you're not paying for things that you don't need and you're not short things that you do need. on wedding day, linens are a huge thing. I count linens probably 10 times for every wedding. I do, just to make

sure. I mean, I know we've covered a lot, but we're, we're not even in the one week stretch yet.

No, we're not, we're close. Another thing that you want to do at that four week mark, is go ahead and call and reconfirm your hotel room block. Touch base with the hotel. Again, if you have a planner, that's something that planner should do for you. But if you don't do it yourself, and if you're going to be going away for a honeymoon, getaway, make sure you have someone lined up to take care of your home, your pets, get your mail, those kinds of things. That's about all that I can think of for the four week mark.

The other thing sharing, we've talked about this on other episodes, if you're preserving anything, oh yeah, sure you have a number set up, take care of that, because you can't just throw that on a table is some things you can't just do that and be like, well, week later when I come back, I'll take care of it. So having someone do whatever needs to be done with whatever you're preserving is a huge

thing now for brides to preserve their bouquets. And I have seen some of the most gorgeous pieces made out of those bouquets. I had one bride she had a shadowbox made for her home that had part of her bouquet, her invitation. I want to say her gardener. But anyway in a little shadowbox for her home. But she also had a beautiful glass paperweight made for each one of the moms from flowers from her bouquet. But the trick is you have to have those flowers to whoever's preserving them. 48 hours after the event,

whoever you're using, make sure you get the instructions of how

and designate someone, a bridesmaid your mom and Aunt someone to be in charge of taking care of that bouquet and getting it to the right person. And make sure your wedding planner knows who that person is so that I can make sure your bouquet gets to them at the end of the night. Absolutely. I just thought of that when you were saying yes, I'm so glad you brought that up because it slipped my mind. And that's huge.

Okay, so now where are we headed?

Oh, we can jump right into like two weeks out. And again, this is this is easy time. This is time that I want my couples to relax, slide right into wedding week. Not a lot of stress. But I do have a few things I asked him to do in these last two weeks, we are going to that that's the time that I'm going to send the timeline out. I like to send it 10 to 14 days out to every single vendor. And every single member of the wedding party, both sets of parents and anyone else that the couple tells me they want to get it that way. It's not so far out that vendors who are busy are going to get it and think oh, that's three weeks away. I'll look at that later. But it's not so close that we don't have time to adjust if we need to. So that's kind of my sweet spot for a timeline is about two weeks out. You want to make sure that all of your bridesmaids have their dresses, their shoes, their jewelry, all the things,

all the things, all the things including your flower girl or junior bridesmaids.

Yes, it's time to go ahead and finalize your seating chart because we want to get that to the printer. Give them about a week to 10 days turnaround time. So you want to finalize your seating chart anyone who has not RSVP by two weeks out probably isn't coming. And if they do, they need to bring a sack chair and a cheeseburger because I'm not going to place for him. It's time that you want to start thinking about your any speech that you're going to give at the at the event. If you're going to stand up as a couple and thank people you want to start thinking about that. It's also the time that as a wedding planner, I send out what I call tips for toasting. And just some tips that I like to give the maid of honor and the best man or whoever's giving any speeches. Number one tip is don't use your phone because the light from the phone messes with photos. The second we do

a whole episode on we did yes make sure you go back and get that we covered a lot but definitely don't use your cell phones because don't use your cell phone in pictures. Or they can be dead by that time your phone can be

right it's also a good time at this to week out mark to go ahead and just jot down what flights you're taking for your honeymoon where you're staying. And give a copy of that to someone on each side of the family so that everyone has your information in case of emergency and Everyone knows how to reach you

and those grooms out there. Now, they like to wait to the last the two weeks out or even maybe a week out to get their hair cut. Yes, you got some guys out there that get their hair cut weekly or bi weekly. So don't forget about the groom's getting their hair done.

Yes, and about a week out. A few things that I'm going to do is I'm going to start watching that weather. I stock the weather, oh, here we go. Especially if I have an outdoor ceremony, I've got a rooftop ceremony coming up. So I've been stocking the weather. You want to really make sure that you're aware of what the weather is on wedding day. So you can plan accordingly. You want to go ahead and pack for your honeymoon. And for wedding day, so that you don't have to worry about any of that in the in the like two or three days before your wedding. Make sure you're completely packed. Now is going to be the time when you actually pick up your wedding dress. When you pick up your wedding dress. The seamstress is going to if you have a bustle, they're going to show you how to do the bustle. You're going to think you're going to remember you're not. I'm just going to tell you now you're not. You're going to be standing there with your wedding planner. And I'm going to say how did she tell you to do this and you're going to have had a few drinks and you're going to tell me you don't know. So every dress is bustled differently. Every dress is unique. Some use buttons, some use hooks, some use color coded threads, but they're all different. So what I recommend you do is at that final dress fitting take your mom, take your maid of honor whoever have them video, how to bustle the dress. Have the seamstress do it and someone video while she's doing it.

So you have something to play by just like you've watched on YouTube. Yeah, exactly. You're I asked

my couples to send that video to me. If you don't have a wedding planner, send it to your maid of honor. Because you need something that we can pull up when there's 200 People are waiting on you to come out. And we're trying to get this dress bustled. So that's huge. Absolutely. You want to make sure that your dress is steamed, no wrinkles, usually your seamstress will do that for you, when you pick it up. You want to make sure that you have all your undergarments together when you pack for wedding day. Another thing I really like people to do about a week out is to get your engagement ring clean. Because you want it to sparkle and shine and photos. And is you know as much as we wash our hands and things like that you really want to make sure it's clean.

Well, and there's I mean, there's so many things this week is going to fly by. And that's why it's great to have a checklist or something to go off of just like we're going down through a list of items. You definitely, that's my seven days is going to be gone before you know it.

Sharon Rumsey  28:03  
Yeah, if you're if you're planning to move, you want to make sure that your vendors have your new address for anything that we might have to mail to you. That's a really good point. Yes, I know a lot of times, photographers mail albums, and sometimes the video gets mailed. So you want to make sure that they have a way to reach you in a way to get your product to you. And the last thing that I would recommend you take care of in that one to two week out Mark, is we talked to Kristina brought up preserving your bouquet, which I love because that's huge. But if you're leaving right after your reception, who's taking that dress? And where's it going? Is it going to be preserved going to the cleaner? Is somebody just supposed to hang it up in your closet?

So what are you doing? What's the plan with it? Yes, yes. Well, and also, hopefully before, a week, but hopefully before the week before your event. You haven't waited to the last minute to wrap gifts. I know we talked about that on the data three months episode. But if you haven't done that, don't wait till your rehearsal dinner day or evening to be doing that last minute start.

I really, the more you can get done ahead of time, the less stressed you'll be be a guest at your own event.

Absolutely. I think that's one of the best tips is find. Whatever way you can be a guest at your own event it's gonna fly by that's why we talk about photographers and videographers. You may not even remember all the people that were there. But one of the things Sharon we didn't mention and I think sometimes it gets overlooked is your transportation. Yes. Whether it's for your rehearsal dinner, the day of the wedding at the end of the evening. The next day to go off on your honeymoon. Transportation you know, you want to make sure you talk to about numbers that you've got something adequate to get the wedding party, the couple, whoever needs to be from place to place, firming it, not just booking it coming for nine

make those vendor calls that I always say I make on Wednesday, for a weekend wedding. That's one of the things you want. If you don't have a wedding planner, you want to go over the itinerary for the transportation. Not just that though, you want the confirmation number for the reservation, because I know I have a wedding coming up soon, there's like six different confirmations because we're transporting gas for transporting bridal party. Bride and groom have a separate car to leave in at the end of the night. So you want to go over each reservation that you have in the confirmation number. But I want to get the drivers name and the driver cell phone number. Because you know, Saturday night at 11pm that transportation office isn't open.

So I want to talk about cell phone numbers. We've talked about that several times and day of contact your day of contact. You should have that probably for all of your play all of your

vendors. Yes, absolutely. I'm really glad sheet I'm really blessed because most of the vendors I work with I work with them frequently. They're in my program didn't in your in your my phone. Yes. But transportation, you know, you get a different driver every time just about so I definitely want those people's contact information.

Well, the other thing too, Sharon is we I guess we're pretty close to wrapping this episode up. Make sure your family, your wedding party. They're keyed in on what they're supposed to do when what's expected of them. I'm not necessarily saying the day before, you should be like, Oh, hey, you're going to be doing this. You're just wanting to confirm and touching base with everybody because you're not going to want to do that the day of you're supposed to enjoy that day.

Honestly, I don't like anybody to contact the bride or groom for anything. Two weeks, the last two weeks, I actually sent an email out with my timeline that says, you know, call a friend call 911 Just don't call a bride or groom. Because by that point, I want them to enjoy the wedding. So if you're doing a reading, or you have a responsibility on wedding day, you should already know that. And if you have a question about it, if they have a wedding planner, that question should go to the wedding planner. But if not, it should go to the maid of honor the best man.

it's, you know, people don't realize how many text messages a bride gets and how they add up on wedding day with Hey, what jewelry am I supposed to wear? Hey, I forgot what time my makeup is. You know, she shouldn't have to be dealing with any of that, especially if she's paid a wedding planner.

Absolutely. Well, if you're just a few weeks out from your event, congratulations, probably one of the best pieces of advice we can give you is breathe, and enjoy. Because there's a lot of hard work, probably some blood sweat and tears that have went into however many months, weeks years have been involved in that. And you don't want to be running around like a chicken with your head cut off. On the day of your event. Yeah,

I always say take it all in. Like you don't want that stressed, rushed, anxious feeling, take it in, enjoy it. There's never going to be another day that you look out over a room and everyone is there because they love and support you. So don't take that lightly. That's the last thing I say to my girls before they walk down the aisle is you walk when you're ready to walk, you know, because I want them to be able to take it in.

And this is the time that the focus is on the couple. And the love that they share. But also this is the beginning of your new life together and be able to really enjoy it. That's a no we say that. And that word enjoy. Like I think take it all in summarizes a whole lot better because it is a lot to take in and it's going to go by in no time.
